VIPS - Visitor Information Processing System

Forget about business cards!

The Swedish Exhibition Centre arranges almost forty-five major exhibitions every year. Our VIPS (Visitor Information Processing System) database includes thousands upon thousands of visitor addresses. VIPS enables you to access the data on everyone who came to your stand, everyone who came to the event or everyone who attended any of our fairs in recent years. Your own VIPS data is of course confidential.

This is how it works

  • Registered visitors
  • All visitors are registered and provided with a personal barcode badge prior to entering the event. And all exhibitors have access to VIPS, our Visitor Information Processing System.

  • Visitor registration
  • Swipe the visitor's name badge and then your own barcode list to register his name, company, address, sphere of interest and required follow-up action.

  • Labels arrive next day
  • Next day you will receive details of who visited your stand and what they are interested in.
  • The data will be provided in the form of lists, plus pre-printed address labels.

Use VIPS instead

Instead of trying to interpret hurriedly written notes, you can use VIPS to organise all the visitor information you collect at the fair.
Before the fair, consider the type of information you wish to include in your barcode list - what data you want on your visitors, how you rate them as prospects, how you want to respond to their visit, etc. Each piece of required information will be matched by a barcode on your individually tailored barcode list.

Compiling your form

It is entirely up to yourself to decide what each barcode will signify.
Many companies find that the following formula works very well:

  • Name of stand staff.
  • Your products/services.
  • Information required by visitor.
  • The form of follow-up you wish to adopt.
  • Further data on the visitor.

(Mailing information material after the fair is a far more effective method, as it prevents your brochures from getting lost among all the other material collected by your visitor during the fair.)

Keep it simple

The form provides space for 90 different items of information, but we recommend that you restrict yourself to about 40, to make it easier to find the appropriate item/barcode.

Sorting made easy

Add an asterisk to, for instance, the names of the people staffing your stand. The information will then come back to you sorted according to each staff member.
